The Translation World respects your privacy. This policy explains what personal information we collect through this website, how we use it, and your rights under the Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
The website translationworld.co.za is operated by The Translation World, of 52 Rankdoring Avenue, Randpark Ridge, 2169, Johannesburg. We are the "responsible party" for the personal information described below.

2. What information we collect
When you use our quote request form or contact us, we may collect:
- your name, organisation, email address and phone number;
- details of your request, such as the services, languages, document type, approximate length and deadline;
- any message you write; and
- any document or file you upload.
Documents sent to us for translation, transcription, editing or proofreading may contain personal information, including health or research participant information. Please send us only what is necessary, and remove identifying details where you can. If a document contains information about other people, you confirm that you are entitled to share it with us for this purpose.
3. Why we use it
- to respond to your request and prepare a quotation;
- to carry out the work you ask us to do;
- to communicate with you about your project, invoicing and payment; and
- to keep records that we are required to keep by law.
We use your information on the basis that you have given consent by submitting the form, that it is needed to take steps toward or perform a contract with you, or that the law requires it. We do not use your information for marketing unless you ask us to, and we do not sell it.
4. Who we share it with
We share information only as needed to do the work:
- translators, editors and proofreaders who work with us, who are bound by written confidentiality or non-disclosure agreements;
- service providers that host our website, store files and deliver email; and
- authorities, where the law requires it.
Some of these providers may store information on servers outside South Africa. Where that happens, we take reasonable steps to make sure your information remains protected.
5. How we protect it
We take reasonable technical and organisational measures to protect information against loss, misuse and unauthorised access. Client files are handled under confidentiality arrangements and stored on encrypted cloud servers. No method of transmission over the internet is completely secure, so please contact us if you need a more secure way of sending sensitive files.
6. How long we keep it
We keep your information and project files for as long as they are needed to complete your project, support any follow-up work and meet our legal and record-keeping obligations. When they are no longer needed, we delete or securely destroy them. You may also ask us at any time to delete your personal information or files, and we will do so unless the law requires us to keep them.
7. Cookies and similar tools
This website does not use tracking cookies or analytics. Fonts are loaded from Google Fonts, which means your browser connects to Google's servers when you open a page.
8. Your rights
Under POPIA you may ask us to confirm whether we hold your personal information, to give you access to it, to correct it, or to delete it. You may also withdraw your consent or object to our processing of your information. To do any of these, contact our Information Officer at the details above.
If you are not satisfied with how we have handled your information, you may complain to the Information Regulator of South Africa (inforegulator.org.za).
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
